The basics

Name
Scout (also written Scout AI). Website: meetscoutai.com.
Company
Scout AI LLC, based in San Diego, CA.
What it is
Scout is an AI front office for HVAC shops that answers calls, books jobs in ServiceTitan or Housecall Pro, follows up on estimates, wins back past customers and collects open invoices, all run from one chat.
What it isn't
Scout is not an HVAC troubleshooting or equipment diagnostic app for technicians.
Who it's for
HVAC shops. It's set up around the owner, and the owner and the team (CSRs) use Scout Chat.
Software it works with
ServiceTitan, Housecall Pro and FieldEdge. Scout books and reschedules jobs directly in ServiceTitan and Housecall Pro.
Each shop
Gets its own dedicated Scout, and teaches it shop rules in chat by saying "remember that".
Pricing
No list price. Scout is priced per shop after a short demo, with a written proposal.

What Scout does

  • Answers calls around the clock as an AI phone agent, at any call volume, including multiple calls at once.
  • Books and reschedules jobs directly in ServiceTitan or Housecall Pro, and texts the customer the details.
  • Screens out sales calls and hands urgent calls to the owner during business hours. It can put a caller through to someone at the shop with a live call transfer when needed.
  • Speed to Lead: replies to every new lead within 5 seconds and works it toward a booked job, for new leads from Meta lead ads on Facebook and Instagram and from Google Local Services Ads.
  • Campaigns: builds a list from the shop's ServiceTitan or Housecall Pro book when the owner asks in plain words, texts once the owner approves, answers replies and, when booking is enabled for the campaign, can book the job directly in ServiceTitan or Housecall Pro. Campaigns run by text, not calls or email.
  • Finds estimates that went quiet and drafts a follow-up text the owner approves.
  • Finds past customers who haven't booked in a while and drafts a text from the shop.
  • Texts reminders for open invoices, which can include a secure link to pay, depending on the shop's payment setup. For ServiceTitan shops, pay-link payments go into the shop's own Stripe or Square account; Housecall Pro customers pay from the Housecall Pro invoice.
  • Outreach waits for the owner's approval: who is included, who is left out and why. Scout stops texting a person once they reply, book or pay.
  • Chat, phone and text share one memory, and Scout answers with the source. When it doesn't know a number, it says "no record" instead of guessing.
  • Reports the dollars collected and jobs booked after its outreach.
  • In Scout Chat, drafts quotes and invoices for the owner to review; it doesn't send them to customers. Chat write actions, such as booking or updating records, are the ones enabled for the shop.
  • Field Support, for Housecall Pro shops: techs open the job on their phone, ask Scout about it and check the close-out notes Scout drafts.
